Thank you for considering Kesgrave Community Centre for your Christmas party.

To make sure the event is as successful as possible the below terms and conditions will apply.

  1. All packages are subject to availability.
  2. A NON-REFUNDABLE deposit of £15.00 per person is required on a booking to secure the chosen date. We regret that should your party size decrease in numbers, payments (including deposits) cannot be transferred or offset against any of our other services.
  3. Parties of fewer than 6 people may be asked to share a table with other guests. Larger parties of 10 or more cannot be guaranteed neighbouring tables, although we will endeavour to ensure that your group are as close together as possible
  4. The management reserves the right to amalgamate parties to ensure optimum numbers.
  5. The organiser/booker is responsible for collecting payments for deposits and final balance and agrees to pay by the date specified below.
  6. All balances must be paid in full no later than 6 weeks before the event date, 1st November for the 13th of December event and the 2nd November for the 14th of December event.
  7. All bookings made after 6 weeks from the event date must be paid in full immediately to secure a table.
  8. KWMCC reserves the right to cancel an event or booking. Should we experience adverse weather conditions, your event may be postponed or cancelled.
  9. For special requests (e.g. dietary requirements) KWMCC must be made aware at least 10 days before the event.
  10. No additional cost will be incurred for dietary requirements provided they are within the cost of the meal/buffet.
  11. KWMCC will endeavour to ensure that all the information and prices are accurate both on KWMCC website and in its brochures. However, occasionally errors occur and KWMCC reserves the right to correct prices or other information in such circumstances.
  12. Should the deposits or full pre-payment not be received by the deadline set by KWMCC – KWMCC has the right to release the party’s booking to another customer but will contact the party/ organiser responsible in writing before confirming this.
  13. If you wish to cancel or reduce your booking numbers, please inform us immediately in writing. Deposits are non-refundable and non-transferable, but we will attempt to resell the space in order to refund the remaining cancellation charges.
  14. Cancellation charges are as follows: Over 6 weeks prior to event deposit only, less than 6 weeks before the event 100% of total, Non-arrivals 100% of total.
  15. In the unlikely event we have to cancel your booking, you will be offered a full refund.
  16. Please arrive at 7.15pm for your welcome drinks and to locate your reserved table.
  17. Dress code – Smart dress (no trainers or ripped jeans please!)
  18. KWMCC will not be liable for any loss or damage to guests property or delay in providing any of its services.
  19. Our Christmas Party Nights are not open to under 18’s.
  20. We are a licensed venue and are legally bound not to serve alcohol to anyone under 18 or unable to provide acceptable ID on request. We reserve the right to refuse to serve a member of your party and may ask them to leave the premises if they are intoxicated or buying alcohol for minors.
  21. We reserve the right to refuse entry or to ask a member of your party to leave the premises if they, in the opinion of our Management Team, act inappropriately or cause offence towards other guests or members of staff. Further action will be taken and damages claimed if a guest causes damage to the KWMCC property.
  22. We operate a strict no-smoking policy throughout the venue and externally near to entrances. Smoking is only permitted in designated areas.
  23. KWMCC bar is a cash only bar. No alcohol is to be brought on to the premises, all alcohol must be purchased through KWMCC.
